Today’s investors increasingly expect secure, self-service access to the documents and data they need to make informed decisions. Rather than requesting updates or searching through email chains, they want a centralized place to view active investments, access relevant documents, and vet new opportunities.
While some investment firms have steadily evolved to keep pace with investor expectations, many others continue to rely on email to communicate with investors, distribute confidential documents, and provide project updates. These manual methods may be familiar, but familiarity is just not worth the cost of rising administrative overhead, the ambiguity of flawed version control, or the risk of sharing sensitive information with the wrong audience.
A customized Salesforce Experience Cloud portal can help firms satisfy investor expectations while reducing manual effort for internal teams. This article explores the core capabilities investment firms should consider when building an investor portal as it highlights how one diversified real estate investment firm transformed its investor experience using Salesforce and Box.
Connecting prospective investors with real estate opportunities
A real estate management and investment company needed a scalable way to provide investors with real-time visibility into active real estate projects while maintaining control of confidential files. The team was keenly aware that their competitors were already using technology to their advantage, which served as additional motivation. While the firm did have a basic Salesforce instance, all client communication was being conducted via email, which was both time-consuming and prone to error and oversight. ShellBlack was engaged to develop a secure portal to provide investors with:
- Self-service access to relevant investment information and opportunities
- Real-time project visibility
- Controlled access to offering-specific documents
- Simple collaboration without unnecessary email exchanges
- Sophisticated digital experiences comparable to those offered by leading firms
The foundation of the investor portal was a Salesforce Experience Cloud Customer Community site. In order to meet the firm’s requirements, our consultant identified the need to modify the existing data model to better align with the firm’s business process while solving for specific Salesforce licensing limitations. Since the Customer Community license tier did not allow us to expose standard Opportunities, the consultant leveraged a Salesforce template to fine-tune the experience using custom objects called Offerings.
A scalable way to extend investment invitations
To support future growth, the solution was designed to streamline how investment opportunities are shared with prospective investors. Rather than relying on manual outreach, internal teams can quickly identify and invite targeted groups of investors based on criteria such as geography or investment interests. Once selected, invitations are sent through an automated workflow that creates the necessary investor records and initiates downstream processes, including secure document provisioning. By automating these steps, the firm established a repeatable, scalable process that reduces administrative effort, improves consistency, and can easily accommodate additional offerings — and a growing investor base.

Fine-tuning Box integration for access and control
Delivering a secure investor experience required more than simply making documents available through the portal. The solution was thoughtfully designed to ensure each investor could access only the documents associated with specific offerings, while preventing visibility into information earmarked for other investors. By aligning the document structure and access model with the firm’s business processes, the portal now provides a seamless experience for investors while maintaining robust security and governance. ShellBlack created a new folder structure in Box and leveraged Salesforce Screen Flows to give investors access to the main folder and child folders supporting each investment invitation. The resulting architecture is both scalable and flexible, allowing the firm to expand its offerings and investor base without sacrificing control over sensitive information.

Revoking access automatically when there’s not an investment match
A modern investor portal should not only grant access to relevant documents when an opportunity arises — it should also remove it when necessary. ShellBlack developed custom Apex code that immediately revokes access when an investor declines an offering or when an investment opportunity is no longer active. By eliminating manual intervention, the firm strengthened its security posture, reduced administrative effort, and ensured confidential information remained accessible only to the appropriate stakeholders throughout the investment life cycle.
A robust dashboard for pipeline and investor metrics
As part of this engagement, the client needed to track key performance indicators (KPIs) for both the firm’s internal project pipeline and individual investors. The pipeline dashboard provides insights into all projects by phase, active offerings, and open tasks. The investor dashboard gives breakdowns of offerings with investors by status and top investor accounts based on the number of offerings they are involved in. Now the firm has actionable insights based on collective and individual performance.
Salesforce investor portal takeaways
The completed investor portal delivers a secure, scalable Experience Cloud site that leverages Box integration to provide real-time visibility into active offerings and associated documents — all within a governed, permission-controlled environment.
